This page publishes the information required by Article 26 of the Data Act (Regulation (EU) 2023/2854): what data a practice can export from OptiSwift, in which formats and with which known technical limitations. The rules for switching provider are in the Subscription terms, Articles 25 and 26. Switching provider and exporting data are free of charge.
What data can be exported
All of the practice’s data in OptiSwift, with the exceptions below:
- patients, with their identification and contact details, their legal representatives and their photographs;
- the clinical record: consultations, refractions, diagnoses, prescriptions, including contact lens prescriptions, recommendations, clinical documents and images, and consents;
- appointments and recalls;
- orders, laboratory jobs and handovers;
- sales, payments received, fiscal documents, the cash book and daily closing reports;
- RO e-Factura files (Romania’s national e-invoicing system);
- stock, goods receipts, suppliers, supplier payments, transfers, stocktakes and expenses;
- messages to patients and their log;
- users and their permissions, companies and locations;
- the practice’s settings and reference lists;
- the audit log;
- uploaded files.
Not exported: the program’s source code, internal configuration and security settings; passwords, which are stored only in irreversible form, and sign-in sessions; the access keys to the practice’s messaging account, which the practice obtains from its messaging provider; internal technical logs and crash reports; other customers’ data; the records that OPTISWIFT S.R.L. keeps as a controller, which are covered by the Privacy policy.
Exports from the program
While the account has access, including in “export only” mode after a failed payment or after the subscription has ended, the practice exports its own data from the program:
| What is exported | Format |
|---|---|
| the program’s lists (patients, appointments, sales, payments received, cash book, expenses, goods receipts, stock, suppliers and the rest) | Excel (.xlsx), ECMA-376 / ISO/IEC 29500 |
| each patient’s clinical record | JSON (RFC 8259), UTF-8 encoded |
| RO e-Factura files | XML, in the format set by ANAF, Romania’s tax authority (UBL 2.1, RO_CIUS profile) |
| the audit log and the consent log | their own exports, in Excel (.xlsx) |
Exports from the program are available to users who have permission for the data concerned.
Full export
On request, by email to contact@optiswift.ro, OPTISWIFT S.R.L. delivers the full export of the practice’s data free of charge within 10 working days:
| Component | Content and format |
|---|---|
| tables | one JSON Lines file (one JSON object per line, UTF-8) for each of the practice’s tables, with all columns |
| uploaded files | in their original form (for example PDF, JPEG, PNG, XML), with their path in the program |
| data structure | a description of the tables, their columns and their data types |
| manifest | the number of records in each table and the SHA-256 (FIPS 180-4) hash of each file |
| explanatory note | a note in Romanian on the contents of the export and the relationships between the tables |
The full export is delivered in an encrypted archive, whose password is sent through a different channel from the archive.
Known technical limitations
- Internal record identifiers are UUIDs; tables are linked through these columns, which are described in the data structure.
- Amounts of money are exported with two decimal places, and points in time in ISO 8601 format, with the time zone.
- Issued fiscal documents are exported as they were issued; they cannot be re-imported as new documents without being reissued by the practice.
- The export does not include the reports and calculations that the program produces on demand (for example margins or balances); they can be rebuilt from the exported data.
